REQUEST FOR QUOTATION (RFQ) Preventative and Ad-Hoc Maintenance of Aluminium Doors 1. Background OBP intends to appoint a suitably qualified service provider to perform preventative maintenance, ad-hoc repairs, adjustments, and selective replacement of aluminium doors installed within its facilities. The scope covers: • 28 Single aluminium doors • 33 Double aluminium doors The objective is to ensure that all doors are safe, functional, compliant, easy to operate, and aesthetically acceptable. 2. Scope of Work The contractor shall provide labour, tools, consumables, and materials necessary to complete the works described below. 2.1 Door Inventory The service provider shall allow for: • 28 × Single aluminium doors • 33 × Double aluminium doors Doors may include office, laboratory, corridor, or access doors. 3. Preventative Maintenance Scope (All Doors) The following tasks shall be performed on all doors, regardless of condition: 3.1 Inspection • Inspect door leaves (the main moveable part of the door that swings open & closed), frames, hinges, pivots, closers, locks, handles, rollers, and seals • Check alignment, squareness, and smooth operation • Identify wear, corrosion, loose fixings, or damage • Identify safety risks (sharp edges, loose hardware, failed closers) 3.2 Adjustment • Adjust hinges, pivots, rollers, and door closers • Ensure doors: o Open and close smoothly o Do not scrape the floor or frame o Close fully and latch correctly • Adjust double doors to ensure correct meeting-stile alignment 3.3 Lubrication • Lubricate: o Hinges and pivots o Rollers (where applicable) o Locking mechanisms and latches o Door closers (as per manufacturer guidance or as per best practice) • Use non-staining, appropriate grade lubricants (In laboratory and production areas use food grade lubricants) 3.4 Hardware Tightening • Tighten all loose: o Door handles o Locksets o Pull handles o Hinges o Closers and brackets 3.5 Cleaning (Functional Cleaning) • Clean tracks, hinges, and operating components • Remove debris affecting movement (dust, grit, residue) 4. Ad-Hoc Repair Scope (As Identified During Inspection) The contractor shall make allowance for repairs on selected doors (in consultation with OBP personnel), including but not limited to: 4.1 Repairs • Replacement of worn or damaged: o Hinges o Rollers o Handles o Locks and cylinders o Door closers • Repair of loose or misaligned frames • Repair of minor aluminium frame damage (excluding major structural alterations) • Rectification of doors that are difficult to open or close 4.2 Reporting • Each repair shall be logged with: o Door location o Fault identified o Repair performed o Parts replaced 5. Door Replacement Scope (Selective) Some doors may require full replacement due to excessive wear, damage, or non-compliance. 5.1 Replacement Requirements • Removal and disposal of existing door and frame (where required) • Supply and installation of new aluminium door(s) • All removals and replacements shall happen only after approval by appropriate OBP personnel • New doors shall: o Match existing finish and profile as closely as possible o Be suitable for intended use (office / passage / lab) o Include compliant locks, handles, hinges, and closers • Double doors to include correct meeting stiles and latching systems 5.2 Provisional Pricing • Contractors shall price replacements separately as: o Single aluminium door replacement (rate) o Double aluminium door replacement (rate) 6. Deliverables The successful contractor shall provide: 1. Completed preventative maintenance on all doors 2. Ad-hoc repairs completed where authorized 3. Replacement doors installed where instructed 4. Maintenance Report, including: o Door schedule (single/double) o Condition before work o Work performed o Parts replaced o Doors recommended for future replacement 5. Warranty information on parts and workmanship 7. Contractor Requirements Service providers responding to this RFQ must: • Be experienced in aluminium door installation and maintenance • Use competent and trained personnel • Comply with applicable health and safety regulations • Carry appropriate insurance (public liability, etc.) • Provide references for similar work (optional but preferred) 8. Pricing Schedule (To Be Included in Quotation) Contractors shall submit pricing broken down as follows: 1. Preventative maintenance: o Rate per single door o Rate per double door 2. Repairs: o Hourly labour rate o Schedule of common replacement parts (if available) 3. Replacements: o Rate per single aluminium door (supply & install) o Rate per double aluminium door (supply & install) 4. Call-out or ad-hoc maintenance rates (if applicable) 9. Site Visit A mandatory visit is be required prior to final quotation submission.
